Vacation App is a team leave and time-off management platform. It lets employees request time off, and gives managers and admins tools to approve requests, track balances, view team availability, and analyze absence trends — all in one place.
Vacation App supports three built-in roles: User (basic access for personal leave tasks), Manager (team management with approval rights), and Admin (full system access). Custom roles with specific permission sets can also be created.
The Dashboard gives admins and managers an at-a-glance overview of the team’s time off. It includes widgets for Team Available Days, Pending Approvals, Currently On Leave, Upcoming Leaves, a Leave by Type breakdown, Leave by Location, Leave by Department, Most Leave Taken, Use It or Lose It (expiring balances), a Team Calendar, a Work Location snapshot (home vs. office), Burnout Risk alerts, Most Sick Leave, and AI-detected Recurring Absence Patterns.
Yes. Admins can go to Settings and toggle individual dashboard widgets on or off. All 12 widgets are visible by default.
It highlights team members who haven’t taken any leave in a long time, flagging them so managers can encourage them to take a break.
This widget shows employees whose leave days are expiring soon (typically at year-end), helping managers remind staff to use their remaining balance before it’s lost.
Vacation App uses AI to detect patterns in absence data, such as team members who frequently take Mondays or Fridays off, who tend to take leave adjacent to public holidays, or whose absences cluster at month-end.
Click the green "+ Request Time Off" button in the top-right corner of any page. Select a Leave Type, choose your Start and End Dates, optionally assign a Coverer, add any notes, and click "Submit Request."
Admins and managers can submit a leave request on behalf of another employee using the "Proxy Request" tab in the Request Time Off dialog.
When submitting a leave request, you can designate a team member as your "Coverer" — the person responsible for handling your work while you’re away. You can also add an external coverer by email if the person is outside the organization.
Yes. Admins can click "Request Group Time Off" in the top bar to open the Schedule Group Vacation dialog. You can select members by department, choose a leave type and date range, and schedule the leave for everyone at once.
Vacation App comes with built-in leave types including: Vacation, Sick Leave, Last Year Vacation (carried-over days), Remote Work, Personal Day, Parental Leave, Conference, Business Trip, Unpaid Leave, Religious Day, and On-Call Duty. Admins can also create custom leave types.
Some leave types (like Vacation and Personal Day) count against an employee’s annual leave quota, while others (like Sick Leave, Remote Work, Conference) do not. This is configurable per leave type.
Certain leave types (e.g., Sick Leave, Remote Work, On-Call Duty) are automatically approved upon submission. Others (e.g., Vacation, Parental Leave, Business Trip) require explicit approval from a manager or admin.
Yes. Admins can click "+ Add Leave Type" on the Leave Types page and configure all settings for the new type.
Go to "Requests" in the left navigation. You’ll see a summary of Pending, Approved, Rejected, and Deleted requests, with the ability to filter, search, approve, reject, edit, or delete any request.
The Dashboard’s "Pending Approvals" widget shows pending requests with Approve and Reject buttons directly inline.
Yes. On the Leave Requests page, click the "Export" button to download the request data.
Team members can be invited to the organization. Newly invited members appear with an "Invited" badge until they accept.
Each member profile includes name, role/title, email, phone, department, location, birthday, employment date, status, assigned approver, roles, and full leave balance and vacation history.
Open the team member’s profile, scroll to the "Leave Balance" section, and click "Adjust" to manually add or deduct days.
Yes. Each team member’s profile shows a full vacation history with all past and upcoming requests and their statuses, and allows you to download the history.
Teams represent departments or working groups (e.g., Marketing, HR, Administration). Each team can have a leader, a description, and a member list.
Go to the Teams page and click "+ Add Team."
Locations represent your organization’s office locations around the world. You can assign team members to a location, set the local timezone, and the Dashboard shows a Leave by Location breakdown.
Go to Locations and click "+ Add Location."
The Calendar page shows a full monthly view of the entire team’s leave. Each day displays color-coded entries by leave type (Vacation, Sick Leave, Conference, Remote Work, Holiday). You can navigate between months.
Vacation App integrates with Slack (schedule vacations, approve requests, check balances via /vacation command), Microsoft Teams (leave notifications and approval workflows), Jira (auto-reassigns tickets when a team member goes on leave), and ClickUp (coming soon).
Go to Integrations and click "Manage" next to Slack. You’ll also need to map Vacation App team members to their Slack accounts in the Slack User Mapping section.
There are three system roles: Admin (full access), Manager (team management and approvals), and User (personal leave only). Custom roles with granular permissions can also be created.
Open the team member’s profile and use the "Roles" section to add or remove roles.
Currently, Settings lets admins control which widgets are shown on the admin Dashboard, toggling each of the 12 available widgets on or off.
